Application and admission process

Information on the application and admission process for programmes at University College

Information may also be set out in admission letters, payment instructions and other communication from University College Absalon.

These Terms and Conditions govern the payment of application fees in connection with applications for admission to programmes at University College Absalon and tuition fees payable upon admission to and during enrolment in such programmes.

In the event of any inconsistency between these Terms and Conditions and any general information published on University College Absalon’s website or otherwise communicated by University College Absalon, these Terms and Conditions shall prevail in relation to application fees and tuition fees, unless expressly stated otherwise.

Persons liable to pay

As a general rule, applicants and students who are not citizens of an EU/EEA country are required to pay an application fee and tuition fees.

Applicants and students who are citizens of an EU/EEA country are exempt from paying application fee and tuition fees at University College Absalon.

Applicants and students from outside the EU/EEA who hold a residence permit or other legal status in Denmark that qualifies them for exemption under applicable law or administrative practice may be exempt from payment:

Applicants and students from outside the EU/EEA who claim exemption from the application fee and tuition fees on the basis of a residence permit or other legal status in Denmark must submit documentation of their entitlement to free education in Denmark via nemstudie.dk. Such documentation must include the relevant decision letter from SIRI.

If an applicant’s or student’s residence permit does not qualify for exemption, University College Absalon will notify the applicant or student.

If the required documentation is not submitted, or if the documentation does not establish exemption, the application fee and tuition fees remain payable.

Application and fee

The application fee is a fee payable in connection with the submission of an application for admission to a programme at University College Absalon.

The application fee is DKK 3,750 (approximately EUR 500), per application.

The applicant must pay the application fee even if the applicant has previously been admitted to the programme. However, this does not apply to reenrolment

Tuition fee

The tuition fee is the fee payable for participation in a programme at University College Absalon.

The, at any given time current tuition fee rates are published on University College Absalon’s website and, for enrolled students, may also be published on the student platform.

The annual tuition fee rates are subject to change without notice, including for students already enrolled.

A semester normally corresponds to a workload of 30 ECTS credits. Students with a workload in excess of 30 ECTS credits per semester are billed separately for the additional ECTS credits.

Scope of the tuition fee

The tuition fee covers educational expenses, such as courses, academic supervision, issuing diplomas, examinations, etc.

The tuition fee does not cover equipment for exams such as computers, printers, calculators, etc., housing and living costs.

Reduction of tuition fee

A student may apply for a reduction of the tuition fee on the basis of prior courses completed in addition to the qualifying examination, where such courses are accepted as credit towards the degree programme at University College Absalon.

Any reduction based on approved credit transfer will apply in respect of the semester in which the credit transfer is granted. If the tuition fee for that semester has already been paid, University College Absalon will issue a credit note in respect of that semester for the amount of the reduction.

Any reduction on the basis of approved credit transfer will take place

If parts of the programme are undertaken at another university college or university while the student remains enrolled at University College Absalon, no reduction in tuition fee will be granted unless expressly approved by University College Absalon in advance.

Extended study period

If a student does not complete the programme within the ordinary period of study, the student shall pay tuition fees for the ECTS credits undertaken during the extended study period.

If a student’s application for additional examination attempts in a course is rejected by the Study Administration, and this results in withdrawal from the programme, tuition fee already paid for the following semester may be refunded in accordance with the general refund terms.

Study abroad

Where a student, with the prior approval of University College Absalon, undertakes one or more courses or a semester at another Danish or foreign educational institution as part of the programme, the student is responsible for payment of any tuition fees or other charges payable to that institution.

The student will not be required to pay tuition fees to University College Absalon in respect of the ECTS credits undertaken at the other educational institution, provided that the courses or semester are approved for credit transfer towards the programme at University College Absa-lon.

Where the student has already paid tuition fees to University College Absalon for the relevant semester, University College Absalon will issue a credit note in respect of the relevant ECTS credits. The amount of the credit note will be calculated on the basis of University College Absalon’s applicable tuition fee rates and the number of ECTS credits approved for credit transfer. Any refund or application of a credit note shall be made in accordance with the general refund terms.

Leave of Absence

A student who is granted a leave of absence remains enrolled at University College Absalon unless otherwise stated.

During a leave of absence, the student may not participate in teaching, examinations or other academic activities at the University College Absalon.

The student must apply for any leave of absence in accordance with the applicable administrative procedures at University College Absalon.

No tuition fee is payable for a semester covered by an approved leave of absence, regardless of whether the leave of absence is granted before or after the start of that semester.

If an invoice for that semester has already been issued, the student will not be required to pay it. If the tuition fee for that semester has already been paid, the amount will be refunded.

The payment of tuition fees resumes from the first semester following the end of the leave of absence.

Change of residence status

If a student is granted permanent residence in Denmark or otherwise obtains a status entitling the student to exemption from tuition fees during a semester, the student must continue to pay tuition fees for that semester. Any exemption will take effect from the following semester, unless mandatory law requires otherwise.

If a student’s residence status changes during a semester, entailing that the student becomes liable to pay tuition fees, the obligation to pay tuition fees will apply from the following semes-ter.

The student must promptly provide University College Absalon with documentation of any change in residence status or other circumstances relevant to fee liability or exemption.

Payment terms

General payment terms

All fees must be paid in Danish Kroner (DKK). Payment in instalments is not permitted.

The application fee and tuition fee must be paid and received by University College Absalon no later than 7 days after the payment instructions have been made available or otherwise issued by University College Absalon unless another due date is stated.

Any bank charges, transfer fees or other payment-related costs are the sole responsibility of the applicant or student, i.e. such fees are not to be deducted from the amount due to University College Absalon.

It is the responsibility of the applicant or student to ensure that the correct amount is paid and received by University College Absalon before or on the due date.

All payments must be marked with a reference to the applicant or student’s full name and any reference number specified by University College Absalon. University College Absalon is not responsible for delays or non-identification of payments caused by missing or incorrect pay-ment references.

Payment instructions for the application fee will also be made available in nemStudie after the application has been submitted.

Payment terms for tuition fees

Newly accepted students will receive payment instructions through the application platform nemStudie. The student must pay tuition fees for the first two semesters prior to commencing the first semester.

University College Absalon will not initiate any visa or residence permit related process before the required tuition fee payment has been received.

For enrolled students, payment instructions will be sent to the student’s official “Digital Post” inbox. If the student does not have access to “Digital Post”, and University College Absalon has been made aware of this, the payment instructions will be sent to the student’s University College Absalon student email address instead.

If the student has not received payment instructions no later than 14 days before the beginning of a new semester, the student must contact the Study Administration without undue delay in order to obtain relevant payment instructions. Not having received the payment instructions does not exempt the student from the obligation to pay the tuition fee.

Consequences of delayed or non-payment

An application will be processed only once the application fee has been paid by the applicable due date. If the applicant fails to pay the application fee by the due date, the application will be rejected.

If a newly admitted student fails to pay the required tuition fee by the applicable due date, the offer of admission will be withdrawn.

Payment of the tuition fee for each semester is a condition for continued enrolment at Univer-sity College Absalon. If an enrolled student fails to pay the full tuition fee by the stated due date (which is always before the start of the semester), the student’s enrolment will be can-celled. If enrolment is cancelled, tuition fee regarding already completed semesters, will not be refunded.

Where enrolment is cancelled and such cancellation is not withdrawn or otherwise nullified, University College Absalon is obliged to notify the Danish Immigration Service, which may re-sult in the student losing their residence permit.

Refund policy

General refund terms

Any refund will be made to the same person or legal entity from which the original payment was received.

In order for University College Absalon to process a refund, the relevant payer must provide the necessary bank details, including, where applicable:

For countries using IBAN:

• Name of account holder
• IBAN number and SWIFT code

For countries not using IBAN:

• Name of account holder Account number
• SWIFT code and routing number

Application fee

The application fee is non-refundable unless the applicant is admitted to the programme, in which case, the application fee will be deducted from the first tuition fee.

If the applicant is not offered admission to the programme, the application fee will not be refunded.

If the application fee is received after the due date, the application will not be assessed, and the application fee will be refunded.

Tuition fee

If an applicant who has accepted an offer of admission withdraws the acceptance before the start of the relevant semester, the tuition fee will be refunded. For programmes commencing on 1 September, withdrawal must take place no later than the start of the semester on 1 September. For programmes commencing on 1 February, withdrawal must take place no later than the start of the semester on 1 February.

If a student withdraws from the study programme after commencement but before the start of a subsequent semester for which tuition fee has already been paid, the tuition fee paid for that subsequent semester will be refunded.

Tuition fees may also be refunded after the beginning of the semester in exceptional circum-stances that prevent the student from commencing the study programme, provided that the student submits written documentation acceptable to University College Absalon. Such circumstances may include:

• if SIRI rejects the student’s application for a residence permit; or
• in cases of serious illness, subject to assessment and approval by University College Absalon.
   

Force Majeure

University College Absalon shall not be liable for any failure or delay in the performance of its obligations under these Terms and Conditions to the extent that such failure or delay is caused by circumstances beyond its reasonable control and which could not reasonably have been foreseen at the time the relevant obligation arose.

Such circumstances may include but are not limited to changes in legislation or public regulation, acts of public authorities, war, terrorism, natural disasters, epidemics, pandemics, labour disputes.
